Reduce your payroll costs
Cost is naturally a common driver for wishing to outsource some or all of a payroll function. In our experience clients that use our payroll outsourcing service achieve average savings of 15-20% of payroll running costs.
We invest heavily in all aspects of payroll, in both technology and people. The economies of scale that this brings means we can deliver the cost savings to you.
Using our payroll outsourcing service also allows you to replace the fixed cost of an in-house payroll function with variable (yet predictable) costs that change as your headcount rises or falls.
No capital investment is needed either when your organisation changes or grows. For example, if you encounter mergers or acquisitions, our payroll outsourcing service can change with you. You won't need to invest in new facilities or staff to handle the change.
Improve your sevice levels
Our clients benefit from our investment in training, technology and process development. Here are some of the ways that our clients enjoy increased service standards when they use our Payroll Outsourcing services for some or all of their payroll activity:
Greater accuracy
In our experience accuracy levels can improve by up to 10%, depending on which aspects of a payroll function we manage. Accuracy levels are built into service level agreements (SLAs) and are carefully measured and managed.
Improved payroll processes
As part of the outsourcing implementation we can carry out a review of your current payroll processes and build best practice into the new arrangement.
Better employee satisfaction
We build challenging SLAs into outsourcing contracts and strive for further improvement. Satisfaction is tracked by measuring indicators such as payroll accuracy and timeliness which have a direct impact on employee satisfaction.
Reduce The Risk
Along with the reduction in cost and improve service you can achieve with payroll outsourcing, your risk is reduced as well:
Achieving legislation compliance
As a leading provider of payroll services, we work closely with the Inland Revenue to make sure we respond quickly and properly to new legislation.
Continuous service delivery
Payroll departments are often relatively small so the exposure to risk if a staff member is absent due to illness or leaves the organisation is great. As part of the service we are responsible for maintaining staff levels to ensure a continuous service which includes accounting for sickness absence and annual leave.
Disaster recovery
If you choose to outsource your system hosting to us as part of a service agreement, we will take on the responsibility for disaster recovery planning, testing and (in the worst case scenario) delivery.
Responding to changes like mergers and acquisitions
Bringing new groups of employees into the outsourcing arrangement would involve minimal time on your part if we are managing your payroll function. Our ability is strengthened by the software systems we use. These are flexible and powerful enough to cope with large numbers of employees leaving or joining a payroll at any time.
Selecting a service that is right for you
Our payroll outsourcing service can be delivered by either bureau or fully managed arrangements. We standard payroll processes in line with payroll outsourcing best practice but with the flexibity to tailor the service to your individual requirements.
The core service in bureau arrangements is the processing and payment of each pay run. Our processing is based on data supplied to us by your payroll department. Beyond that, support can be extended to include additional services depending on the client's size and the complexity of the payroll.
Here are the main features of a bureau arrangement:
- Data entry is done by you
- We use our bureau service to processes the data, run the payroll and submit the BACS payments
- Payslips, P45s and standard report information is generated by our bureau service
- Payslips and P45s can either be printed by us, or by your own printing facilities or by a third party printer
- Year end processing is done by our bureau service
With a fully managed agreement, we in effect become your payroll department. We take on the responsibility for all payroll functions. Often, your existing staff can join NorthgateArinso under a TUPE agreement which in turn can bring them new career opportunities.
As well as all of the bureau services, under a fully managed agreement the following services can be included in the agreement:
- Input of all payroll data by NorthgateArinso
- A help desk to answer gross to net and tax/NI queries from employees
- The administration of working family tax credits, disability tax credits and court orders
- The completion of pension returns and final salary pension forms for leavers
- The submission of third party payments for Tax, NI and deductions
- The production of special reports
- User reporting facilities are made available to you
- A help desk is available for legislation queries
- We can act as your IR/CA agent
